WHERE YOU’LL FIT WITHIN THE TEAM

As an Office Assistant based in our Stockholm office, you’ll be a key member of our Functional Professional Staff. You’ll play a critical role in ensuring the smooth day-to-day running of our workplace, supporting everything from reception and facilities management to internal events and onboarding.

WHAT YOU’LL DO

You’ll be the face of Bain at our front desk, ensuring a welcoming, efficient, and professional experience for visitors and colleagues alike. Your responsibilities will include:

  • Welcoming guests and answering calls at reception
  • Managing conference room bookings and coordinating catering needs
  • Preparing for interviews and client meetings
  • Maintaining tidy, fully equipped office and kitchen spaces
  • Handling supply orders and coordinating with vendors
  • Performing light maintenance (e.g., restocking, toner replacement) and liaising with service providers as needed
  • Supporting recruiting and onboarding activities
  • Assisting with IT equipment setup in meeting rooms
  • Organizing internal breakfasts, team dinners, and external catering when required
  • Pitching in on ad hoc projects or cross-functional events (e.g., marketing or local recruiting support)

  • Essential qualifications include:
  • Strong communication skills in both Swedish and English
  • Prior reception or hospitality experience
  • Professional, positive demeanor
  • Strong attention to detail and reliability
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
