WHO YOU’LL WORK WITH

Under general supervision, the San Francisco Receptionist will be responsible for providing a top-notch and inviting experience for all employees, clients, and guests to visit our office. They will work with the Office Services team to manage ongoing support for internal and external clients in the areas of guest services, event coordination, administration, and reception. They will continuously monitor office needs and reports/acts on needs and improvement opportunities. Our receptionist will have the opportunity to work cross-functionally with our EA/MA team, Events Team, and Business Operations team. 

WHAT YOU’LL DO 

Please note: Bain’s offices require onsite Office Services (OS) Team members. Our OS Associate is expected to be in the San Francisco office five days a week. General office hours will be from 7:45 a.m. to 4:45 p.m. This is a non-exempt (hourly) role. Our San Francisco office is located at 415 Mission St., San Francisco, CA 94105.

Serve as the first point of contact at reception, ensuring a professional, welcoming experience for all visitors. Handle external and internal calls for multiple West Coast offices, directing inquiries and providing assistance, as needed. Manage visitor registration and enforce security protocols. Oversee client conference room scheduling, coordinating logistics with the EA/MA team and Leadership Services Coordinator. Maintain security access records and provide administrative support as required.

  • Greet and assist visitors with a warm, professional demeanor; announce arrivals promptly.
  • Handle incoming calls, providing accurate information and directing them appropriately.
  • Monitor and manage visitor lists through the online portal, ensuring smooth access and security compliance.
  • Oversee conference room scheduling, resolving conflicts and coordinating necessary setups/cleanups.
  • Communicate with the Leadership Services Coordinator to maintain high service levels for client meetings.
  • Submit building maintenance requests 
  • Provide detailed updates at weekly Office Services meetings.
  • Respond promptly to reception email requests
  • Coordinate and order catering for internal meetings; tracking and coding expenses as needed
  • Issue and deactivate security access cards, keeping accurate records.
  • Assist in onboarding new hires and transfers by updating visitor management systems and ordering business cards.
  • Develop and distribute the Office Services Daily Schedule.
  • Train new team members and administrative staff on reception duties.
  • Manage parking validations cards
  • Manage reception supply orders, providing backup support for cafeteria and office supply procurement.
  • Actively participate in the Life Safety Team and complete related training (e.g., First Aid certification provided by Bain).
  • Provide backup assistance to Office Services teammates as needed, including meeting setups/cleanups, cafe and mailroom support.
  • Perform special projects, process improvements, and other duties as assigned.

  

ABOUT YOU

  • Minimum 2 years of experience in a fast-paced corporate environment; professional services experience preferred.
  • Associate or Bachelor's degree preferred.
  • Proficiency in Microsoft Outlook, Excel, PowerPoint, and Word.
  • Excellent communication and interpersonal skills with a polished, customer-focused approach.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks efficiently with minimal supervision.
  • Poise, professionalism, and sound judgment in high-pressure situations.
  • Strong ability to handle confidential information with discretion.
  • Dependable, reliable, and proactive in problem-solving.

U.S. Compensation Information

Compensation for this role includes base salary, annual discretionary performance bonus, 401(k) plan with an annual employer contribution based on years of service and Bain’s best in class benefits package (details listed below).

Some local governments in the United States require a good-faith, reasonable salary range be included in job postings for open roles. The estimated annualized compensation for this role is as follows: 

  • In San Francisco, the good-faith, reasonable annualized full-time base salary range for this role is between $54,000-64,500; placement within this range will vary based on several factors including, but not limited to experience, education, licensure/certifications, training and skill level
  • For all other locations, the good-faith, reasonable annualized full-time salary range for this role is commensurate with competitive geographic market rates for this role and will vary based on several factors including, but not limited to experience, education, licensure/certifications, training and skill level
  • Annual discretionary performance bonus 
  • This role may also be eligible for other elements of discretionary compensation
  • 4.5% 401(k) company contribution, which increases after 3 years of service and is 100% vested upon start date
