We’re a highly collaborative, upbeat, and inclusive team committed to learning, growing, and achieving results together. We work hybrid  - your regular presence in Warsaw office will be required. 


WHERE YOU’LL FIT WITHIN THE TEAM
We’re hiring a dynamic, resourceful Executive Assistant to support our Bain Partners in EMEA region. In this role, you’ll play a critical part in ensuring seamless operations for our leaders, directly supporting their external client efforts, internal priorities, and case work. You’ll join a collaborative, fast-paced, and upbeat team - where initiative is valued, and proactive communication is essential.


WHAT YOU’LL DO
You’ll support our Partners with high-impact responsibilities, including:

  • Meeting & Calendar Coordination: Own complex and ever-evolving calendars, prioritizing client needs and shifting demands with grace and speed.

  • Travel Management: Coordinate intricate international travel plans, including visas and documentation, anticipating needs before they arise.

  • Relationship Management: Build strong relationships internally and externally, managing Partner contact networks and marketing outreach.

  • Case & Team Support: Understand the scope and priorities of your Partner’s work to serve as a reliable point of contact for case teams and practice area members.

  • Logistics & Tech Support: Handle day-to-day logistics, including meetings, conferences, and technical support using PowerPoint, Excel, and Word.

  • Expense Management: Process time/expense reports and currency reconciliations with accuracy and efficiency.

ABOUT YOU
You’re a proactive team player with a service mindset, strong attention to detail, and excellent interpersonal skills. You bring a high degree of professionalism, reliability, and discretion to every interaction.

  • Fluent in French and English (C1 level)

  • 2+ years as an Executive or Personal Assistant in a fast-paced, high-level support environment

  • Highly organized, adaptable, and comfortable managing shifting priorities

  • Skilled communicator who builds relationships across levels

  • Driven, team-oriented, and quick to anticipate needs

  • Bachelors Degree or equivalent highly desired
